Staff Position Description
Position Title: Parish Administrator
Reports to: The Rector
Weekly Hours: Negotiable, usually 16 hours per week
Primary Function: Under the supervision of the Rector, the Parish Administrator bears responsibility for Parish Office reception, communications (published and electronic), and basic financial administration.
Duties and Responsibilities:
I. To receive and welcome parishioners and guests, the Parish Administrator:
· Answers the Parish Office telephone during posted daily office hours.
· Promptly relays all messages to the Rector or other relevant members of staff.
· Manages the Parish Calendar, booking spaces in accordance with the Policy for the Use of
Parish Facilities and communicating relevant details to the Sexton and Rector.
· Collects and distributes daily mail.
II. To facilitate clear and accurate communication within the Parish and with the larger
community, the Parish Administrator:
· Drafts, proof reads, and prints all bulletins, submitting them to the Director of Music and
Rector for editing and approval, oversees their folding, stapling, and transfer to the Sacristy
· Compiles and distributes weekly announcements, both printed and electronic.
· Maintains POP and ROTA schedule w/notifications and Altar Flowers, Birthday, and
Anniversary lists.
· Sends out Gift acknowledgements and prints labels for mailings
· Submits office budget to Finance Chair
· Records Online donations and Flower memorials for Easter and Christmas.
· Maintains and updates the Parish website, Google Calendar, and social media pages.
· Produces the Annual Meeting report and weekly Christ Church Chronicle, with material
supplied by the Rector and volunteer contributors.
· Ensures that Parish House bulletin boards are attractive, informative, and up-to-date.
· Develops and distributes timely and engaging posters for special services, Parish events,
meetings, Bible studies, service opportunities, fundraisers, etc.
· Other duties as assigned at the discretion of the Rector
III. To manage the operational affairs of the Parish Office, the Parish Administrator:
· Manages the Parish Office budget, purchasing all necessary office supplies and periodically
reviewing and making recommendations with regard to renewing or changing all related contracts (e.g. computer maintenance, printer lease).
· Coordinates with the Treasurer to ensure timely payment of all bills and invoices.
· Receives and transmits to the Treasurer for deposit all payments related to facility use,
weddings, funerals, and Christmas and Easter Flower Memorials.
Education: High School Degree required. Professional Certification in Office Administration and/or Bachelor’s Degree desirable, but not required. Facility with basic word processing software, (MS Word) email, and social media required. Experience with publication software and large-scale printing desirable, but not required.
Experience: Please provide two references from employers or coworkers familiar with your organizational and administrative skills
Working Conditions: Normal work environment with active physical and visual demands. Confidentiality with regard to Parish Records and pastoral conversations required.
Paid Time Off: Sick leave benefits accrue at a rate of four hours per month. 10 vacation days per year scheduled with the approval of the Rector.
